Complaints Procedure Sporting Bears Motor Club

As an organisation, we strive to ensure that we operate with the best levels of practice. However, if you are not happy with any aspect of this practice, you should contact us immediately so that we can investigate your concerns. Our Complaints Procedure is designed to be quick, simple and fair.

STAGE 1 – HOW TO MAKE A COMPLAINT

If you are unhappy with the service you have received from us, you can register a complaint directly either verbally or in writing.

INFORMATION TO PROVIDE

It is important that you provide us with as much information as possible. In your complaint to us, please include the following:

  •   Full Name
  •   Full Address
  •   Email Address
  •   A clear description of your complaint

HOW WE DEAL WITH YOUR COMPLAINT

At each stage of our complaints process:

  •   If you have complained in writing, you will be contacted via email or letter to confirm we have received your complaint and that it is under investigation.
  •   You may also be contacted if we require further information.
  •   On completion of the investigation into your complaint we will write to you and set out thefindings of the investigation which has been carried out, whether your complaint has been upheld or rejected and the reasons for that.Page 1 of 2 Complaints Procedure V1.0 August 2017

STAGE 2 – IF YOU REMAIN UNHAPPY WITH OUR RESPONSE TO YOUR COMPLAINT

Hopefully, we will resolve your complaint at first point of contact. However, if you do not agree with our findings, you can escalate your complaint to our Chairman for further investigation and final response.

There are two ways you can escalate your complaint to the Chairman:

RESPONSE TIMES

 At any stage of this process we will acknowledge any written complaint within 7 days of receipt.  All cases, either verbal or written, will receive a final response within28 days
 If we are not able to provide a final response within 28 days we will explain why and indicate

when we will be able to provide a final response.
